Job Summary
Athabasca Tribal Council (ATC) is seeking a Site Coordinator for our Fort Chipewyan office with strong interpersonal and customer focused skills. Reporting to the Child and Family Services Office Manager, the Site Coordinator is responsible for overseeing the daily site administrative duties and being the first point of contact for our visitors and clients for ATC’s Fort Chipewyan office.
The ideal candidate is someone who can effectively communicate with all employees within the organization and external visitors/clients. They must ensure that all Site Coordinator duties are completed accurately and delivered with high quality service in a timely manner.
DUTIES AND RESPONSIBILITIES
Maintain general administrative duties such as, answering phones, printing, filing, scanning, etc.
Greet and provide general support to ATC visitors and clients – directs them to the appropriate staff member.
General organization and tidying of the office including the kitchen, washrooms, bedrooms etc. as required.
Fleet management for Fort Chipewyan fleet vehicles.
Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
Performs scheduling tasks including calendar coordination, reserve meeting rooms, tele-conference services, and assemble attendee packets.
Invoice processing.
Receive, sort and distribute mail and freight.
Travel to and from the airport and locally, to pick up freight, transport employees etc.
Arranges travel requests including, flights, accommodations, shuttles, and rental vehicles.
Assist in organizing events including booking facilities, catering, travel and other details as required.
Assist with any programming events as needed.
Handle sensitive information in a confidential manner.
Other duties as required.
QUALIFICATIONS
High school diploma or equivalent.
2+ years of experience in office administration or related field.
Knowledge of clerical and administrative procedures and systems such as filing and record keeping.
Working knowledge of First Nations culture, traditions and values is a definite asset.
Ability to relate and communicate with individuals at all levels of the organization.
Experience in written and verbal communication.
Computer literacy, including effective working skills with Microsoft Word, Excel, PowerPoint, and Outlook required.
Invoice processing experience preferred.
REQUIREMENTS
Clear Criminal Record Check with Vulnerable sector.
Child Intervention Record Check from the Athabasca Tribal Council CFS Department.
Clean Drivers Abstract and Drivers License.
Physical ability to lift at least 50 lbs.
Ability to work overtime, evenings or weekends if required.
